Reports to: The Director of Disbursements

  • Lead and direct staff members in accounts payable

  • Coordinate all payments to vendors and ensure that all expense vouchers and vendor invoices are paid on a timely basis.

  • Manage operations and all account payable tasks, including disbursements and customer vendor relations

  • Develop ideas to improve service delivery and payment fulfillment to vendors

  • Create periodic reports for head of the department

  • Liaise with compliance personnel, auditors, and all departments in the organization for smooth and timely service provision.

  • Allocate daily workforce, and oversee, on behalf of the department head, the hiring and recruitment needs of the department

  • Manage and implement a virtual card payment program for easy payment fulfillment.

  • Handle all issues related to tasks within the department

  • Implement, and also maintain various systems to improve service dispensation

  • Regulate the monthly closing of financial documents; post month end registers and verify authenticity of financial statements

Additional Responsibilities:  
  • Manage and correct import errors in Oracle
  • Run checks and ACH payments
  • Run Oracle month and year end close
  • Void and reissue checks and stop payments
  • Reconcile vendor statements
  • Manage and complete special projects
  • Create and distribute daily and monthly reports
  • Work with external Auditors on compliance and quarterly and year end assignments  

  • A minimum of 5 years of related experience in an accounts payable supervisory position

  • 3 -5 years of experience with Oracle Cloud Financials; including Accounts Payable, Supplier Master, Supplier Portal, Purchase Order and Receiving Module and GL.
  • Experience with Oracle AR, OTM and OTC preferred
  • Experience with Oracle invoices and supplier uploads
  • Experience with Catalyst or another invoice package is helpful
  • Experience with Concur Travel Module 
  • A Bachelor’s degree in Accounting or Finance is required
  • Must be a team player who can work independently
  • Strong work ethic required 
Computer Skills Required:
  • Strong Excel skills
Key Skills Required:
  • Experience with 1099 and IRS regulations 
  • Familiar with WBEN 1042 forms
  • Experience dealing with bank and bank files as well as credit card companies.
  • Ability to work with key suppliers and internal staffing regarding payments
  • An understanding of how the inventory process works 
  • Excellent communication and interpersonal skills
  • Strong planning and problem-solving skills
  • Experience managing a high volume of transactions and payments

Relocation of Offices in the Late Summer of 2019:

  • Ability to relocate to or work out of our offices in Newark
